This manual is for Client Administrators who manage user accounts and monitor progress for their organisation in The Evidence Edge. If you are a user, see the User Manual.
1. Your role
As a Client Administrator you:
- Create and manage user accounts for your organisation.
- Monitor training and test progress for users you created.
- Update user contact details and mark accounts active or inactive.
Your account is created and licensed by the site’s Website Manager. Your licence may include a maximum number of users you can register.
2. Before you start
- Use a current version of Chrome, Edge, Firefox, or Safari.
- You need the username and temporary password issued when your Client Administrator account was set up (from the Website Manager).
- Collect each user’s full name, email, and optionally phone before adding them.
- Usernames must be at least 3 characters and may contain letters, numbers, dots, underscores, and hyphens.
3. Sign in
Where to sign in
- Open the site sign-in chooser at
/sign-in/. - Choose Client Administrator.
- Enter your username and password.
You can also open /user-portal/login.html?portal=admin directly. After sign-in you are taken to the Admin Overview Platform (admin.html).
First sign-in (temporary password)
- Sign in with the temporary password from the Website Manager.
- When prompted, set a new password (at least 8 characters) and confirm it.
- You can then use the Admin Overview Platform.
Forgotten password
On the sign-in page, choose Forgotten your password?, enter your username, and submit.
Change password while signed in
Use Change Password in the top bar. Enter your current password, then your new password (at least 8 characters) twice.
Sign out
Use Save & Log Out in the top bar.
4. Admin Overview Platform
The Admin Overview Platform has three main sections, selected from the navigation bar:

As a Client Administrator, headings and descriptions refer to your users and your program — not the whole site.
5. Adding users
On Platform Overview, use the Add user form:
- Enter a unique username (3+ characters; letters, numbers, dots, underscores, hyphens).
- Enter the user’s full name and email (required).
- Optionally enter a phone number.
- Click Add user.
A temporary password is generated for the new account. When email is configured on the server, it is sent to the user’s email address. Otherwise, copy the temporary password shown on screen and share it securely with the user.
The user signs in at the User portal, enters the temporary password, and must set their own new password before using the modules.
User quota
Below the add-user form you may see how many users you have created versus your licensed limit (for example, “12 of 20 users”). If you reach your limit, you cannot add more users until the Website Manager increases your licence.
Re-adding an existing username
If you try to add a username that already belongs to one of your users, the system updates their contact details and may issue a new temporary password if they still need to sign in. You cannot claim or update users created by another Client Administrator.
6. Managing users
All users / Your users table
Use Search to find users by name, username, email, or phone. Use Show to filter (for example, active accounts only, or users who have started training).
For each user you can:
- Details — expand a row to see per-module status and edit email and phone (then Save contact).
- Mark inactive / Reactivate — control whether the user can sign in. Progress is not deleted.
Account status

| Inactive | User cannot sign in; progress is retained; still counts toward your user quota |
7. Progress & reports
Platform Overview statistics
Summary tiles show counts for your users only: accounts, active users, training completions, test attempts, learning time, and average completion percentage.
Completion by module
Cards show how many of your users have started, completed training, passed tests, and fully completed each module.
Module matrix
A scrollable grid lists each user on rows and each module on columns. Cell colours indicate status (not started, training in progress, test passed, fully complete, and so on). Use the legend above the table.
Pass mark
Knowledge tests use a site-wide pass mark (percentage required to pass). Client Administrators cannot change this — only the main site administrator can. The current pass mark is shown in user reports and in the Details view.
8. What you cannot do
- View or manage users created by another Client Administrator.
- View or manage other Client Administrator accounts (except your own).
- Edit a user’s training answers, scores, or module progress from the admin screens.
- Change the site-wide test pass mark.
- Access the Website Manager portal (
/license/) unless you also hold that role separately. - Remove your own administrator account from this screen (contact the Website Manager for licence changes).
9. Troubleshooting

| Cannot sign in | Verify username and password; request a reset via Website Manager if you forgot your password |
| “Not licensed for access” | Your Client Administrator licence may be expired or disabled — contact the Website Manager |
| Cannot add a user | Check you are under your user quota; ensure the username is unique and valid |
| User did not receive email | Confirm email on the account; check whether the site has email configured; share the temporary password manually if shown after creation |
| User cannot sign in | Confirm the account is Active; re-issue a temporary password by updating the account if needed |
| No users visible | Expected until you add users — use Add user on Platform Overview |
| Progress looks wrong | Progress is recorded as users work; you cannot edit it — ask the user to complete or retake modules |
10. Getting help
- Your licence, quota, or administrator password — Website Manager for the site (
/license/). - Email delivery — Website Manager / site operator (SMTP must be configured for automated emails).
- User how-to — share the User Manual with your users.
